The film companies generally send out an invite about a month prior to the release of a new film for exhibitors to screen it at a location near them. They choose the locations that you are able to go to and you contact your rep at the film company to hold your place. The timing always depends on the movie, but it is usually held 2-3 weeks prior to the release. Closer to 2 for the larger films.

You probably don't need to get there 2 and 1/2 hours early. They are usually held in HUGE theaters that hold more than 500-600 people and I've never been to a screening with more than 150 people. They do this so that you can have a good movie experience and basically choose your ideal seat. If you get there early, wait in the parking lot, because there likely will not be anyone there to let you in. Now, that may not be true for New York, but I've been to several in the Dallas area. I generally get there 30 minutes early and I am the only person in the theater.
